Our Group Charter team successfully completed a multi-state project for a Utah-based construction company. Leveraging our private charter solutions, we organized a series of roundtrip multi-leg flights across six locations, transporting 280 employees to San Antonio, Texas, for an exciting incentive and company event trip.
Coordinating travel for over 280 passengers across multiple states posed a complex logistical challenge that required meticulous planning and execution. The conference, spanning over three days, saw attendees traveling from various locations, including Utah, Idaho, Colorado, and Arizona. Our flight routes included departures from Provo (PVU), St. George (SGU), Phoenix (AZA), Boise (BOI), Denver (APA), and Salt Lake City (SLC), all converging ultimately in San Antonio (SAT).
To facilitate this large-scale operation, Air Partner deployed a diverse fleet consisting of CRJ 200s, Dornier 328s, and a Boeing 737-800. The Provo to San Antonio route was designed to accommodate 220 passengers, divided between a CRJ 200 for 60 passengers and the Boeing 737, which comfortably carried 160.
In St. George, the Dornier 328 functioned as a corporate shuttle, transporting 15 passengers and making a brief stop in Phoenix to pick up an additional 15 travelers before proceeding to San Antonio. Meanwhile, the charter flights from Boise, Denver, and Salt Lake City each included 30 passengers aboard a CRJ 200.
This precise attention to detail provided by our expert Group Charter team highlights the precision required for such complex group charters.
Managing Weather-Related Obstacles
In the realm of complex travel logistics, being prepared for unforeseen challenges is essential. In this instance, weather-related issues in the Provo route created significant hurdles for the intended flight schedule. Due to the snow and wind conditions on the flight date, positioning the Boeing 737 at Provo airport was not a feasible option. Since the aircraft was scheduled to arrive two days before the flight date, our team had to reroute the departure point from Provo and instead arrange the B737 at Salt Lake City. The aircraft was rerouted to Salt Lake City, a 45-minute drive from Provo.
The Air Partner team responded with impressive agility and efficiency, promptly shifting all logistics from Provo to Salt Lake City. This operation involved coordinating with a new ground-handling Fixed Base Operator, organizing screening services, and arranging passenger transportation to the new departure point.
Thanks to our team's effective coordination, the delay was minimal to the passengers. Every detail, from rerouting the aircraft to securing ground services and communicating with passengers, was executed with expert care.
Juan Silva, US Group Charter Account Director, played a crucial role in navigating these changes. “Experience and relationships with suppliers are key factors in order to act quickly and efficiently when last-minute problems present,” states Juan. His hands-on presence in both Provo and San Antonio allowed him to address concerns directly, providing reassurance to the passengers and event planners. This personal involvement ensured that every aspect of the travel arrangement met the expectations of the event planners, creating a seamless experience for everyone involved. This proactive approach underscores our commitment to client safety, satisfaction, and operational excellence.
All six returning flights were successfully completed without any delays.
